2. Introduction
CoachKrew operates a team-management platform for coaches, athletes, schools, clubs, and athletic programs. This Privacy Policy describes how information is collected, used, disclosed, retained, and protected when you use the CoachKrew website, web application, mobile application, and related services.
This policy applies to information processed through CoachKrew in connection with team workspaces and public marketing pages. It does not replace school, district, club, or organizational privacy policies that may also apply. CoachKrew retains its own obligations under applicable law.
3. Categories of information collected
Depending on how CoachKrew is used, CoachKrew may process the categories of information described below. Some information is supplied directly by a user. Other information may be entered about an athlete or team member by a coach, school, organization, parent, guardian, or other authorized user.
- Account and contact information, such as name, email address, and profile display details
- Authentication and account-session information managed through CoachKrew's authentication service provider
- Team, season, sport, membership, role, and permission information
- Athlete roster and profile information, such as name, email, grade, jersey number, position, height, weight, and related profile details
- Tags and groups used to organize athletes and target content
- Attendance records
- Performance measurements and testing results
- Events, schedules, locations entered by authorized users, reminders, and assignments
- Announcements and audience assignments
- Direct messages between authorized coaches and athletes where messaging is enabled
- Playbooks, PDFs, images, and other uploaded documents
- Quizzes, answers, attempts, and scores
- Workout templates, assignments, and completion records
- Depth charts, assignments, entries, athlete-visible notes, and staff-only depth-chart notes where those features are used
- Staff notes about athletes that are visible to authorized staff
- Notification records, read status, delivery-related status, notification preferences, and push-notification tokens when notifications are enabled
- Parent or guardian email address, consent response, and related consent records when an athlete is identified as under 13 or otherwise requires parental or guardian consent
- Support and operational communications sent to CoachKrew
4. Information provided about others
Coaches, schools, organizations, and other authorized users may enter information about athletes, staff, and other team members. Those users are responsible for submitting only information they are authorized to provide and for giving any notices required by applicable law or institutional policy. CoachKrew processes that information to provide the service and retains its own obligations under applicable law.
5. Authentication
Authentication credentials and sessions are managed through CoachKrew's authentication service provider. CoachKrew does not have access to users' plaintext passwords.
6. Information collected automatically
When you use CoachKrew, we and our service providers may automatically collect limited technical and operational information needed to operate, secure, and support the service, such as:
- Device type and operating system
- Browser and app platform information (for example, whether the web app or a mobile app on iOS or Android is being used)
- IP address or related network information processed by hosting, authentication, and infrastructure providers in the ordinary course of providing the service
- Authentication session data
- Security, diagnostic, and application-error information
- Push-notification tokens when notifications are enabled on a supported device and the related mobile infrastructure is configured
- Notification delivery and interaction records, such as whether a notification was created, delivered, or marked read
7. Location information
CoachKrew does not currently collect precise device location through GPS or similar device-location APIs. If a coach or other authorized user enters an event or session location in CoachKrew, that location is team content associated with the schedule and is not necessarily the user's device location.
8. Cookies and similar technologies
CoachKrew uses essential technologies needed to keep users signed in and to remember certain preferences, including authentication session storage and local storage on the web, and secure local storage on mobile devices.
CoachKrew does not currently use advertising cookies, tracking pixels, behavioral advertising tools, or session-replay products on the public website or in the authenticated product. If that changes, this policy will be updated.
9. How information is used
CoachKrew uses information to:
- Create and operate accounts and team workspaces
- Provide team-management features such as rosters, schedules, attendance, performance tracking, playbooks, quizzes, workouts, depth charts, announcements, messaging, and related tools
- Send invitations, reminders, consent-related notices, account notices, and other service communications
- Screen age status for athlete invitations and manage parental or guardian consent workflows where required
- Secure, troubleshoot, and maintain the platform
- Provide customer support
- Improve the service based on operational needs
- Enforce our policies and protect the integrity of the platform
- Meet applicable legal obligations
10. How information is disclosed
CoachKrew may disclose information to:
- Authorized team members based on team membership, roles, assigned permissions, content audience, tags or groups, and whether content was assigned to the entire team or selected users
- Schools or organizations responsible for the applicable team, where they control or administer the workspace
- Service providers that process information on CoachKrew's behalf to host, authenticate, store, email, deliver push notifications, or otherwise operate the service
- Authorities when required by law, legal process, or to protect rights, safety, or security
- Parties involved in a merger, financing, acquisition, reorganization, or sale, subject to applicable law
- Other parties at the user's direction or with appropriate authorization
11. Data ownership and license
Users, teams, schools, and organizations retain their applicable rights in the information and content they submit to CoachKrew. CoachKrew does not claim ownership of customer-submitted personal information or team content.
By submitting information or content, the applicable user or organization grants CoachKrew only the rights reasonably necessary to host and store the information, display it to authorized users, deliver product functionality, maintain and secure the service, provide support, meet legal obligations, and enforce applicable agreements.
Those rights do not mean every submitted record can be immediately deleted in every case. Retention, team administration, legal obligations, backups, security records, or operational needs may require limited continued processing after a removal or deletion request.
12. Roles, permissions, and visibility
CoachKrew supports Head Coach, Assistant Coach, and Athlete access within team workspaces. Head Coaches generally manage the team. Assistant Coaches receive access based on assigned permissions. Athletes receive a more limited view of assigned schedules, announcements, resources, and personal information.
Access to information may depend on team membership, user role, assigned permissions, content audience, tags or groups, and whether content was assigned to the entire team or selected users.
Organizations and team administrators are responsible for inviting authorized users, assigning appropriate roles and permissions, and reviewing access when responsibilities change.
13. Student information and FERPA
CoachKrew may process information about student athletes on behalf of schools, athletic programs, clubs, and other organizations that use the platform. The school or organization generally determines what information it submits and how its workspace is administered. Schools and organizations remain responsible for determining whether their use of CoachKrew is authorized under FERPA, institutional policy, consent requirements, or another applicable legal basis.
CoachKrew processes school-controlled information to provide, maintain, secure, and support the service, and as otherwise permitted by the applicable agreement and law. CoachKrew's role may depend on the circumstances and applicable agreement. CoachKrew does not claim ownership of customer-submitted personal information or team content.
This policy does not state that CoachKrew is a "school official," FERPA-compliant, or directly governed by FERPA in every situation. FERPA's school-official exception has specific requirements, including direct control and limits on use and redisclosure. Additional information is available on our Student Privacy page.
14. Children under 13
CoachKrew is not intended for children under 13 to create or administer accounts independently. A child under 13 should use CoachKrew only when access is authorized through the applicable invitation and consent process and when required notices and permissions have been provided.
CoachKrew does not currently collect a full date of birth. During the athlete invitation or activation process, CoachKrew asks for an age-status response indicating whether the athlete is 13 years of age or older. A coach may also report an age-status response when inviting an athlete.
When an athlete is identified as under 13, CoachKrew may collect a parent or guardian's email address, consent response, and related consent records, including version identifiers for the applicable privacy notice and consent text, timestamps, and consent status. CoachKrew does not currently collect a separate parent or guardian name field as part of that consent flow.
An under-13 athlete does not receive active CoachKrew access until the required parental or guardian consent process for that invitation is completed. Until consent is approved, the invitation remains in a pending consent or related non-active state.
CoachKrew may send consent requests, reminders, approval confirmations, decline confirmations, and activation-related communications when those communications are enabled. Canceling or replacing an invitation may supersede a pending consent request.
CoachKrew does not currently provide a general-purpose parent dashboard or a separate parent account. Granting consent does not create a parent account.
Parents and guardians may contact CoachKrew to request access to, correction of, or deletion of a child's personal information, subject to identity and authority verification. CoachKrew may also coordinate with the school, organization, or team administrator that controls the relevant workspace.
This section describes CoachKrew's current product behavior. It does not make a legal determination that the consent method is sufficient verifiable parental consent under COPPA or any other law in every circumstance.
15. Sale of personal information and advertising
CoachKrew does not sell personal information.
CoachKrew does not rent personal information.
CoachKrew does not use student or child information for targeted third-party advertising.
CoachKrew does not use behavioral advertising cookies or advertising pixels in the authenticated product.
16. Service providers
CoachKrew currently relies on service providers to operate the platform, including providers used for database, authentication, and file storage; website and web application hosting; transactional email delivery; and mobile push-notification delivery where that infrastructure is configured. These providers process information only as needed to provide their services to CoachKrew. A current list is available on our Subprocessors page.
Paid subscription billing and payment processing are not currently enabled in the product. If payment processing is enabled later, this policy and the Subprocessors page will be updated to describe the billing provider and related practices.
17. Retention and deletion
CoachKrew retains information while it is needed to provide the service, while an account or team remains active, and as needed for security, dispute resolution, legal compliance, and legitimate operational purposes. Different categories of information may be retained for different periods.
Removing an athlete from a roster ends that athlete's active roster membership for the team but does not necessarily delete every related historical record. Archiving a season or team is not the same as permanently deleting the team.
Head coaches, assistant coaches, and athletes may request account deletion in the product. An account-deletion request begins a 7-day recovery or cancellation period. During that period, normal app access may be restricted, and the requester may cancel the deletion. Permanent deletion begins after the recovery period expires, subject to ownership and team-resolution requirements.
A head coach cannot schedule permanent account deletion while owning an unresolved team. Ownership must be transferred and accepted, or the team must itself be scheduled for deletion.
Permanent team deletion, where available to an authorized Head Coach, likewise uses a 7-day recovery or cancellation period before permanent deletion begins. Access to a team scheduled for deletion may be restricted during that period according to the product's deletion controls.
After permanent deletion begins, some backups, logs, transaction records, consent records, security records, or legally required information may remain for a limited period. CoachKrew does not promise instantaneous or comprehensive deletion of every record in every system.
18. Access, correction, deletion, and export requests
Users may correct certain account, profile, and team information within the product where those controls are available, including scheduling or canceling account deletion during the recovery window.
Additional requests for access, correction, deletion, or other privacy-related assistance may be submitted to CoachKrew. CoachKrew may verify the requester's identity or authority, coordinate with the school, organization, or team administrator controlling the workspace, and retain information where permitted or required by law or legitimate operational needs.
Some information may not currently be available through a direct self-service export. Requests involving school-controlled records may be directed to or coordinated with the applicable school or organization.
19. Security
CoachKrew uses administrative, technical, and organizational measures appropriate to the nature of the service, including authenticated access, role-based authorization, team-scoped data controls, encryption in transit through HTTPS/TLS, provider-managed infrastructure protections, access restrictions, and operational logging or monitoring where implemented.
No method of transmission or storage is completely secure. CoachKrew cannot guarantee absolute security of information.
20. International and state-specific disclosures
Privacy rights and obligations may vary by jurisdiction. This policy describes CoachKrew's general practices. If a specific legal right applies to you, you may contact us to make a request.
This policy does not make a definitive determination about whether any particular state or international privacy law applies to a given user or organization, and it does not claim compliance with every privacy law that may apply in every circumstance.
21. Third-party services and links
CoachKrew may link to or depend on third-party sites and services. Those third parties have their own privacy practices, and CoachKrew does not control them.
22. Changes to this policy
CoachKrew may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date on this page. Material changes may also be communicated through the website, the application, email, or another reasonable method.
